What we collect

Propcharter collects account details from owners and inspection information from renters, including property address, room notes, photos, timestamps, browser metadata, audit records, and signed report evidence.

Why we collect it

We use this information to create, review, sign, store, and export property condition reports for Western Australian rental inspections. We also use audit records to protect both parties if a report is disputed.

Retention and security

Inspection records are retained for 7 years to align with rental recordkeeping and dispute evidence needs. Data is encrypted in transit and at rest. Operational logs are separated from forensic audit records and minimised where possible.

Overseas processors

Photos and report context may be processed by Anthropic in the United States for AI-assisted condition analysis. Renter consent surfaces this cross-border processing before the inspection starts.

Access, correction, deletion, and complaints

You can request access, correction, deletion review, or complaint handling through the renter data handling page. Deletion requests are assessed against legal retention and dispute evidence obligations before any data is removed.

Data breach response

We follow an OAIC-aligned breach response process: contain, assess, notify affected people and the OAIC when required, then remediate the cause and document the decision.
